Shift Scan privacy policy

1. Who we are

This policy covers the Shift Scan app for Android (package com.cybs.shiftscan), available on Google Play. It is made by Cybs Innovations, Main Road, Near KBC Building, Champa, Chhattisgarh 495671, India.

When you start, the app makes a private account on our Shift Scan server with only the display name you choose. There is no email, phone number or password. The server gives your phone a random key, and keeps only a scrambled copy of it. The server is hosted on Render, with its database on Turso. It keeps your account, the teams you join, swap posts and offers, shifts you choose to share, how many schedules you scanned each month, and your Pro purchase.

2. Phone permissions

• Calendar: only if you turn on calendar sync. The app adds, updates and removes its own shift events in the calendar you choose.
• Notifications: for shift reminders, swap alerts and reminders to log your hours.
• Advertising ID: used by Google AdMob and Meta Audience Network on the free plan, described below.

3. What stays on your phone

• Your shifts, jobs, pay rules, logged hours, tips and paychecks.
• Your display name, the name on your schedule, your account key and your settings.
• Schedule photos you take with the camera, in the app's cache.
• Counters that limit how often ads show.

4. Outside services

• Shift Scan server: receives the schedule photo or PDF you scan, the name on your schedule and any note you type, and passes them to Anthropic to read the shifts. The server does not save the file or its text. It keeps the account data described above until you delete your account.
• Anthropic: reads the shifts from the schedule you scan, using the Claude model. It receives the whole image or PDF, including any coworkers' names on it, the name on your schedule, today's date and your note. Photos are re-saved first, which removes location and camera details. Anthropic privacy.
• Google AdMob: shows ads on the free plan only: a banner on the Shifts, Swaps and Settings tabs, a full screen ad after some saved scans (never your first 2, at most once every 3 minutes and 6 a day), an ad when you come back to the app after 30 seconds away (from your third launch, at most 4 a day), and a video ad you can choose to watch for 1 more scan this month, up to 2 a month. AdMob may use your phone's advertising ID, your IP address (which gives a rough location), ad views and taps, and basic device and crash data to show ads, count them and stop fraud. Where the law asks for it, Shift Scan asks for your consent with Google's consent form first. You can change your answer from Privacy and ad choices in Settings, under Plan. Google AdMob privacy.
• Meta Audience Network: an ad network that can offer ads through AdMob. It receives the same kind of data as AdMob, only to show and count ads. Meta Audience Network privacy.
• Google Firebase Analytics and Crashlytics: count how the app is used, such as scans started and saved with the number of shifts, teams joined, swaps posted and purchases. They use your account ID, but never your shifts, pay, names or schedule photos. Crashlytics sends a report if the app crashes. Both are on by default, and you can turn them off in Settings, under Plan, then Share usage and crash reports. Google Firebase Analytics and Crashlytics privacy.
• Google Play Billing: handles the Pro monthly and yearly subscriptions. To check a purchase, our server sends your purchase token to Google. Google processes the payment, and we never see your payment details. Google Play Billing privacy.

We do not sell personal data.

Coworkers in a team see your display name, your swap posts and, only if you turn on Share my schedule, your shifts and roles from yesterday to 8 weeks ahead.

Anyone with a team invite link can see the team's name.

The free plan includes 3 scans a month. Pro adds the Money features, removes ads and allows up to 200 scans a month.

Your shifts, pay data and account key may be part of your phone's own Android backup, which Google and your phone settings control.

5. Children

Shift Scan is not made for children under 13, and we do not knowingly collect data from them. If you think a child has given us data, email us and we will delete it.

6. Deleting your data

• Delete your account from Settings, under Plan, then Delete account. This removes your account, teams, swaps, shared shifts and scan counts from our server, and the app's shifts, calendar events and settings from your phone.
• Leave a team, or turn off Share my schedule, to remove what that team can see.
• Delete a single shift from its screen.
• Uninstall Shift Scan, or clear its storage in Android settings, to remove its data from your phone.
• To reset or delete your advertising ID, open your phone's Settings, then Google, then Ads.

7. Your rights

Under India's Digital Personal Data Protection Act, 2023, and laws like it where you live, you can ask what data we hold about you, ask us to correct or delete it, and complain to us or to your data protection authority. Email info@cybsinnovations.com.

8. Changes to this policy

If the app starts handling data differently, we update this page and the date at the top. The privacy policy for our website is separate: website privacy policy.
